Position summary
Though anchored in the New Testament Department, the administrative assistant manages the workflow of the New and Old Testament Departments, which includes creating and keeping official departmental records, scheduling and sending out reminders of appointments, giving information to callers and visitors, and relieves 11 faculty members of digital and clerical work, as well as various administrative and business details. In addition, the Admin’s work goes beyond simply the needs of the Departments and includes responsibilities of various types relating to the operations of the Seminary as directed and assigned by the Dean’s office.

Duties and responsibilities
Essential Duties and Responsibilities include, but not limited to, the following.
- Manages the workflow of the Departments including appointments, meetings, correspondence, committee appointments, and all upcoming events.
- Screens incoming calls and email correspondences for the Departments and individual faculty members and responds independently when requested or needed.
- Assists students and visitors visiting office suite as independently as possible.
- Assists professors in updating and maintaining LearningHub sites for their courses.
- Assists professors in taking attendance on LearningHub upon request.
- Assists professors in proctoring and grading objective exams or assignments (as needed throughout the semester).
- Assists professors in posting course materials such as syllabi on LearningHub and iVue.
- Assists professors in communicating with students and in generating needed letters.
- Sets up the room for video conferencing and remote connections for the department and individual professors (Before each of the Departmentally arranged meetings and as support is needed throughout the semester).
- Assists professors in ordering textbooks.
- Assists professors in preparing correspondence, expense reports, etc.
- Assists chair in preparing the annual budget.
- Assists chair in preparing the annual assessment report and PowerPoint slides.
- Proctors and monitors Language (Hebrew and Greek) Placement Exams and communicates with students, professors, and programs regarding registration and results.
- Makes updates to the on-line and internal schedule.
- Enters bulletin changes.
- Directs preparation of records such as agendas, notices, minutes, and resolutions for department meetings.
- Arranges programs, events, or conferences by arranging for facilities and food, issuing information or invitations, coordinating speakers, and controlling event budget. (Once or twice a year and helps other departments as needed - Intensive).
- Assists with organizing study tours and expeditions (e.g. archeological digs): duties include, but not limited to, compiling travel documents and communicating with students.
- Acts as custodian of departmental documents and records and organizes files.
- Prepares contracts and rate sheets for contract teachers and student workers.
- Communicates with student workers and submits time.
- Collects and distributes mail for the faculty of the department.
- Organizes, decorates, cleans office space including the offices of individual faculty members (including trash removal) on a weekly basis.
- Sanitizes and keeps the work station and office space in the suits clean and in an orderly manner.
- Acquires office supplies.
- Organizes expenses related to archaeological dig.
- Assists professors in preparing and editing manuscripts and papers, including transcribing dictations and lectures (as needed).
- Keep track of travel schedules of the faculty members to help avoid conflicts.
- Provides assistance with any of the responsibilities requested by the Dean's office.
Supervisory responsibilities
Supervise student employees as office workers and support staff. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing and training student employees; planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems.

Education and/or Experience Bachelor’s degree preferred, associate’s degree required in Secretarial Science, Communications, or related field. Experience in a busy office setting is highly preferred. Proven people skills are required.
Language Skills Excellent verbal and writing skills in English required.
Mathematical Skills Basic skills in handling budgets and other financial reports required.
Accuracy Able to do careful work with details to produce error free documents and reports.
Multitask Must be able to work with many professors (11) and multiple departments and academic programs.
Must be a Seventh-day Adventist in good and regular standing.
Technical competencies
Equipment and devices: Use of a computer, photocopier, scan, fax
Digital literacy and competence: Zoom, LearningHub, Microsoft Office programs: Outlook, Word, Excel (advanced skills required), PowerPoint creation, digital technology for hybrid meetings and instructions, and AI technology.
Interpersonal interactions
Must feel and act comfortably with all the people who interact with this office: students, faculty, and staff. Must have a warm and friendly personality. Must be willing to help “clients” according to their needs. Must be willing to train and supervise students, and also interact on a professional level with faculty and staff. Must be a team player and fit comfortably with the office atmosphere and philosophy of advocacy.
